Managing your grant project begins with award notification and ends when activities have been completed and closed. This includes the business and financial aspects of grant agreements, including contracts and sub-award partnerships with other universities.

When you receive notice of a grant award, notify CFR as soon as possible.

Faculty with external grants must follow all contract terms, which will vary depending on the funding source. Compliance helps reduce liability and maintain eligibility for future funding opportunities. The university maintains a robust set of policies and contract procedures to ensure compliance, including with federal contracting requirements.

If you receive a grant agreement or contract, do not sign it without contacting CFR. Staff will route the agreement for approval and signature by an authorized agency representative.

When you are awarded a grant, Finance will set up a project budget in PeopleSoft. It is your responsibility to oversee your budget by tracking your expenses and reconciling each cost with the expenditure reports provided quarterly by Finance.

If a budget modification or no-cost extension is needed, contact CFR and Finance, who can support you in reaching out to the funder.

As you implement your project, pay attention to the objectives outlined in your proposal and grant contract. You will be asked to report to the funding source on the achievement of your objectives at the end of the grant period. 

CFR and Finance will monitor grant reporting deadlines and notify in advance of the due date. Please contact CFR with any questions about grant reporting. All private grant reports must be reviewed by CFR prior to being sent to the funding source. Federal reports and financial reimbursement requests should be reviewed and submitted by Finance.

As your grant term comes to a close, ensure that all funds have been spent and outcomes or objectives of the project met. Final reports must be submitted to the funder, in partnership with CFR and Finance.
